This Privacy Policy explains how the NROI Points Card mobile app and the NROI Portal website (collectively, the “Service”) collect, use, share, and protect your information.

1) Information we collect
Account & profile information
- Name and email address
- NROI ID (and related membership details you provide)
- Role/position (e.g., RO/AC/AAC/RM) and area/region (if applicable)
- Profile photo (if you upload one)
Match & points information
- Match signification status (pending/standby/approved/withdrawal requests, etc.)
- Match participation records, points, and demerits (when applicable)
- Remarks/notes related to match actions (e.g., standby/rejection/withdrawal reasons)
- Range Master signatures (when captured/uploaded)
Technical & usage information
- Basic log data for security and auditing (e.g., action timestamps and account activity logs)
- Device/network information needed to operate the Service (e.g., IP address in server logs)
2) How we use your information
- To create and manage your account and allow login
- To manage match signification workflows and approvals
- To calculate and display points and match history
- To send service-related emails (e.g., OTP, approvals, match updates)
- To maintain security, prevent abuse, and keep audit trails for official actions
3) How we share your information
We do not sell your personal information. We may share information only as needed to operate the Service, including:
- With authorized NROI staff/officers (based on their role) for match management and auditing
- With service providers that help us run the Service (e.g., email delivery via our SMTP provider)
- When required by law, regulation, or to protect the rights and safety of users and the Service
4) Data retention
We retain information as long as needed to provide the Service and maintain official records. Some records (such as match participation/points and audit logs) may be retained for compliance, dispute resolution, and operational integrity, even if an account is deleted.
You can request account deletion at Delete Account.
5) Security
We use reasonable administrative and technical measures to protect information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
6) Your choices
- You can update certain profile information in the app/portal (when available)
- You can request account deletion using our deletion page
7) Children’s privacy
The Service is intended for authorized users and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
8) Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top indicates when it was last revised.
